2. Information we receive

When you contact us, request a quotation or ask for a sample report, we receive the information you provide, such as your name, email address, telephone number, property details and message. We also keep relevant correspondence and your communication preferences. Please avoid sending sensitive personal information or information about other people unless it is needed and you are entitled to share it.

Our website and its hosting and form providers process technical information needed to deliver and protect the service, which can include IP address, browser/device information, requested pages and error or security logs.

For commissioned work, information can also include property addresses, access arrangements, imagery, reports, billing details and client-portal records. Images may incidentally include identifiable people, vehicle registrations or neighbouring property. The scope, recipients and access arrangements for an individual project should be agreed with the customer before capture or sharing.

3. Why we use information

  • Enquiries and quotations: to respond to you and take steps you request before a contract. For enquiries made on behalf of a business, our legitimate interest is communicating with that business about its request.
  • Sample reports: to fulfil the download request and send the requested material. Our legitimate interest is responding to an enquiry you have initiated. A request for a sample report is not, by itself, consent to promotional texts.
  • Customer services: to arrange and deliver agreed work and manage the relationship. The basis is performance of our contract with you, or our legitimate interest in supplying services to the organisation you represent.
  • Optional marketing: to send communications for which you have given consent. You can withdraw consent at any time without affecting earlier lawful processing.
  • Administration and protection: to meet applicable legal and accounting obligations, and for our legitimate interests in maintaining security, preventing misuse and establishing or defending legal claims.

Fields marked as required are needed to process that form request. If you prefer not to use a form, contact us by email. Marketing choices are separate from the information needed to respond to an enquiry.

Eastbourne checklist, sample report and calls

For the Eastbourne download form we ask for your first name and work email. Organisation and postcode district are optional. We use these details to deliver the requested checklist and sample report, respond to your enquiry and check the area you are asking about. We may retain campaign source details from the page link (UTM source, medium and campaign) to understand which invitation or campaign generated the request. Our legitimate interests are handling the request and understanding the effectiveness of our business communications.

The optional email-marketing box is separate from requesting the downloads and is not required. If you tick it, we use consent for the follow-up news and offers described beside the box. We retain evidence of the choice, including the wording, date and source page or form. You can unsubscribe at any time.

We may send a relevant introductory business email to a corporate business using contact details published on its own website or other public business sources. Where personal data is involved, our basis is our legitimate interest in introducing relevant property-intelligence services to that business. We do not treat public availability as consent or enrol a business in the consent-based download follow-up simply because its details were imported. You can object at any time using the unsubscribe option or by contacting us; we retain a minimal suppression record to respect that choice. We do not use this route for unsolicited email where prior consent is required.

If you book a call, HighLevel processes your booking details and scheduling information. We use Google Calendar to manage availability and appointments, and Google Meet for video calls. These providers process the information needed to arrange and deliver the requested meeting under their applicable terms and privacy arrangements.

4. Email and text-message choices

Our contact form offers separate choices for service-related texts and promotional texts. Where you opt in, frequency varies and your mobile provider may charge message or data rates. Reply STOP to stop texts or HELP for assistance, or contact us using the details above. Use an email unsubscribe link, where provided, or email us to stop promotional emails. Withdrawing marketing consent does not prevent essential correspondence about an existing enquiry or service.

5. Service providers and other recipients

We use HighLevel/LeadConnector for website forms and customer communications. Relevant information is processed by the platform and the providers supporting its hosting, messaging and communications services. HighLevel describes its processing arrangements in its Data Processing Agreement.

For a commissioned project, relevant information may also need to be provided to the operator carrying out capture work, the people preparing or hosting the deliverables, professional advisers, or authorities where disclosure is legally required. Only information relevant to the purpose should be shared. A contractor introduction or an external website may involve a separate business with its own privacy responsibilities.

6. International processing

Our platform providers may process information outside the European Economic Area or the United Kingdom, including in the United States. HighLevel publishes the transfer mechanisms it uses in its Data Processing Agreement, including applicable adequacy arrangements, standard contractual clauses and provisions for UK transfers. Contact us if you need information about the safeguards relevant to your data or a copy of applicable safeguards.

7. How long information is kept

Enquiry records are retained while needed to respond to and appropriately follow up the enquiry. Customer and project records are retained for the agreed service and any applicable legal, accounting or claims requirements. The period depends on the record, the service, whether an issue remains open and the obligations that apply. We delete or anonymise information when it is no longer needed. A minimal record of an opt-out may be retained to respect that choice.

8. Cookies and linked services

The website uses hosted pages, forms and media. Necessary technical storage or similar technologies may be used to deliver requested functions. Optional analytics or advertising technologies require an appropriate consent choice where the law requires it. Your browser settings can control or remove cookies, although blocking necessary cookies may affect website functions.

Links to services such as maps open websites operated by others. Their own privacy and cookie notices apply when you use those services.

The site also loads Cloudflare Web Analytics to help understand website performance. Cloudflare states that this service does not use cookies or local storage to collect usage metrics. See Cloudflare’s Web Analytics information.

9. Your rights

Depending on the circumstances, you can request access to your personal data, correction, deletion, restriction of processing or transfer of data, and object to processing based on legitimate interests. You can object to direct marketing at any time. These rights are subject to the conditions and exceptions in data-protection law.

Contact us to make a request. We may need enough information to confirm your identity and locate the relevant records. You can also complain to Ireland’s Data Protection Commission, or the supervisory authority relevant to where you live or work. In the United Kingdom, you can complain to the Information Commissioner’s Office (ICO).

10. Changes and questions

We will update this page when the information needs to change. The date above identifies this version. Please contact us if you have a privacy concern, including a concern about identifiable information in property imagery.
